Two environments. One vision. Five days to build it.

The UVU President's Scholarship Ball is Utah Valley University's marquee annual fundraising event, a black-tie gala that raises scholarship funding for students across the university. The 2025 edition at the UCCU Center called for an enchanted forest theme carried through every element of the evening, from the outdoor boxwood arch at the entrance to the life-size butterfly scenic on the arena main stage.

In The Event built two complete environments: a fully designed reception space with custom lounge areas, a 9.5-foot faux wishing tree bar, butterfly entrance arch, and boxwood living frame photo experiences, and a fully produced arena floor with a 136-panel video wall, hanging chandeliers, custom floral stage scenery, 67 tables of centerpieces across three distinct collections, and lighting built for a concert-sized room. One team built all of it across five days.

The Scope

Two Complete Environments

The reception and the arena were designed as two chapters of the same story: the enchanted forest theme moving from the entrance doors all the way to the main stage.

Three Centerpiece Collections

Every table told a different part of the story.

Mossy Forest 19 Tables Green florals with glass cylinders and LED candles: Dianthus, Bells of Ireland, Green Amaranthus, and Reindeer moss.
Whimsical Forest 26 Tables Purple, peach, blush, and ivory florals with butterfly accents: Allium, Scabiosa, Veronica, White Lace, and gold speckle votives.
Living Story 22 Tables Succulent and greenery book planters with flameless taper candles and gold candlestick trios: Cascading Ivy, Reindeer Moss, and Heather.

The Challenge

The UCCU Center is a multi-purpose arena, not a ballroom. Transforming it into a black-tie enchanted forest gala environment required building every atmospheric element from scratch: draping, scenic, lighting, furniture, and florals all working together to make 16,000 square feet of arena floor feel intimate and magical.

The five-day production window was divided precisely: different crews working on the reception space, the arena main floor, the stage, and the final detail work in coordinated phases so nothing collided. The reception had to be complete and dressed before the arena team could finish their work. The centerpieces couldn't go on the tables until the lighting was aimed and the dance floors were laid. The topiary horse, the butterfly scenic, and the wishing tree each required their own installation sequence.

What We Built

Services Delivered

From the outdoor entrance to the arena main stage: every element of the enchanted forest environment designed, sourced, built, and staffed by In The Event.

Entrance & Arches Two custom 10'×10' boxwood arches on the outdoor stair landings, and a custom butterfly-shaped boxwood entrance arch inside the reception doors with twinkle lights. The first impression of the enchanted forest, set before guests reached the reception floor.
Reception Design A 9.5-foot faux wishing tree as the centerpiece of the reception bar area, flanked by eight modular acrylic counters and four lit high boys with fairy lights and lanterns. Four types of custom lounge areas seated 44+ guests across sofas, arm chairs, coffee tables, rugs, and log stumps. A back-lit registration counter in ITE's signature teal acrylic modular system greeted every arrival. Three boxwood living frame photo experiences with gold enchanted frame graphics, twinkle lights, and butterfly decor packages, each with a 55" display.
Stage & LED Production A 136-panel video wall with custom show graphics designed by the In The Event team. Three hanging chandeliers with bronze draping, greenery accents, and lit orbs suspended over the arena floor. Main stage scenery with 10 boxwood hedges and six life-size floral and greenery installations, plus six 3-foot life-size butterfly displays placed throughout the arena. Dance floors in Driftwood and Northern Birch across 56 linear feet.
Event Lighting Full concert-level lighting for the arena: dozens of moving lights and color washes, 66 wireless light fixtures, pattern projectors, and atmospheric effects, all hung from an overhead rig that the team built, powered, and ran from the ground up using two lift trucks.
Centerpieces 67 tables dressed across three distinct collections: Mossy Forest (19 tables: green florals with glass cylinders and LED candles), Whimsical Forest (26 tables: purple, peach, blush, and ivory florals with butterfly accents and gold speckle votives), and Living Story (22 tables: succulent and greenery book planters with flameless tapered candlesticks and gold candlestick trios).
Statement Pieces A custom topiary horse with full floral accents as a freestanding statement piece. Lit stair installations on two staircases, floor to main level and main level to second tier, built from custom frames with a matching wrap graphic. A 15-minute pre-show video package with custom show graphics.

One product. Every touchpoint. The modular acrylic frame system was configured four different ways across the UVU Ball, each one back-lit, branded, and built to fit its specific role in the environment.

The Execution

The build started October 6th and ran through October 10th: five days of coordinated work across two environments. The arena lighting team went first, using lift trucks to hang the overhead rig and aim the lights while the floor was still clear. The video wall went in next. The reception space built out in parallel, with lounge areas, photo experiences, and the wishing tree installation all staged in sequence.

By the time centerpiece florals arrived on the 10th, the dance floors were down, the table linens were on, and the light projections were focused and tested. Three hundred guests walked into a fully realized enchanted forest, from the outdoor boxwood arch to the butterfly scenic on the main stage, and found something that looked like it had always been there.

Set: Day 1 Oct 6, 2025 10:00 am – 5:00 pm

Arena load-in begins. Crew uses lift trucks to hang the overhead lighting rig and chandeliers. Stage deck build and video wall installation start. Lighting cables run.

Set: Days 2 & 3 Oct 7–8, 2025 10:00 am – 5:00 pm

Reception environment builds in parallel: lounge areas, service bars, wishing tree installation, living frame photo ops, and boxwood entrance arch. Arena floor continues: video wall finished, lights aimed, stage scenery framed, and boxwood hedges placed.

Final Touches Oct 10, 2025 10:00 am – 5:00 pm

Dance floors laid, table linens dressed, and all 67 centerpiece collections placed by the floral team. Life-size butterfly scenic and topiary horse installed. Custom floral light projections aimed and tested. Outdoor boxwood arches set on stair landings. Full technical rehearsal and pre-show video check.

Run & Strike Oct 11–12, 2025 5:00 pm run · 10:00 pm strike

Doors opened at 5pm. Full gala run through 10pm with a full crew running lighting, audio, video, and stage across both environments. Strike began immediately at close: full clearout by 3am.
